| |||
| Once you have logged into the system, select the "Data Entry" box from the complete dashboard of available options to begin the data input process.
| |||
| Upon clicking the "Data Entry" module, a screen like the one below will appear. This is the data input home screen.(% style="font-size: 14px; background-color: rgb(245, 245, 245);" %)

| | ||
| |||
| Outlined below are several basic features you should be aware of in relation to this home screen (above) for all uses of this data entry module
| |||
| |||
| We start with the top toolbar in blue:
| |||
| * "Home" button: located on the top left of the screen, clicking here allows you to go back to the dashboard of menu options
| * Clients: this drop-down menu offers a choice between viewing a client list or viewing client workload, both of which serve as management tools
| * Assessments: this drop-down menu is the way to navigate to a list of client assessments or to view assessments in need of approval. For more information on the data available through those functions and more detailed instruction on how to use them, please refer to the Assessments Data>>doc:Assessments Data page)
| * Help: the help button will bring you back to this documentation for further assistance
| * Logout: after having entered the desired data, end the session by pressing this button on the top right of the screen
| * NOTE: your name (Last,First) will also appear in the toolbar

| |||
| ((( | ||
| (% style="line-height: 19.6000003814697px;" %)Next, we examine the data to be found in the main box entitled "Clients List." As its title suggests, this box allows you to view a list of all clients in the system sorted primarily by 3 categories: their unique identifier, their name, and their date of birth.
| |||
| | ||
| |||
| Using the toolbar pictured above, which appears on top of the three columns of data, you can choose to arrange the information in a manner that best serves your need.
| |||
| This can be done by clicking on the various categories to arrange the set by unique ID (from lowest to highest OR highest to lowest), name (alphabetically), or date of birth (oldest to youngest OR youngest to oldest).
| |||
| |||
| __FILTERING__ | ||
| |||
| The last major element of the home screen that will assist you is the filter function, which you can utilize by pressing the blue "Show Filter" button to the top right of the screen.
| |||
| Once you press the button, a filter section like the one below will open:
| |||
| | ||
| |||
| |||
| This filter gives you the ability to examine your data with more particularity in relation to several important characteristics, each outlined below:
| |||
| NOTE: It is NOT necessary to enter information in any of these search boxes within the filter area to retrieve results. Rather, your choices here just allow you to access a much more limited and manageable data set and one that is more appropriate for your current needs.
| |||
| |||
| * Identifier: this function is most useful if you know the unique ID of the client you are looking for, as inputing their number will retrieve all of their results (e.g. "0123456")
| * Date of Birth: to locate clients with a specific date of birth, input that date here to retrieve all clients that match that data (e.g. 01/01/1960)
| * First Name: if you want to examine data for all clients with a given first name, insert that name in this box by clicking and entering (e.g. "Michael")
| * Last Name: if you want to examine data for all clients with a given last name, insert that name in this box by clicking and entering ((e.g. "Abbott") [see illustration below]
| * Active Only: by checking this box, you further limit the pool of clients by restricting your results to those that are currently active in the system
| * Organizational Unit: this filter can narrow your results by focusing on clients only from one or a select few OUs
| * Reporting Unit: this filter can narrow your results by focusing on clients only from one or a select few RUs
| |||
| ((( | ||
| For both OU and RU filters, click on the magnifying glass to input your parameters. A screen like the one below should pop up. From there, you can simply make your OU or RU selections by clicking on the plus icons. Alternatively, you can search OU or RU lists by name in the search box located next to the filter icon (this feature is most useful in the event you have a many OUs and RUs). Make sure to hit the blue "apply" button on the bottom right side of the screen once you have made your selections.
| |||
| | ||
| |||
| |||
| Let's take a look at a sample filtering search. Here, assume we are only interested in clients whose last name is "Abbott".
| |||
| Below, we would have pulled up the filter by pressing the blue "Show Filter" section, and then entered "Abbott" in the search box located to the right of "Last Name."
| |||
| | ||
| |||
| There are several key points here about the filter function:
| |||
| * Once you enter any criteria into the filter, the previously blue "Show Filter" section will turn green and read "Hide Filter." If you want to minimize the filter, you can now press the green "Hide Filter" button to deflate the search terms. Note, however, that the button will still remain green, as this indicates that some filter is being applied. Thus, you can always check whether a filter is operating based on the color of the filter button.
| * To delete a previously entered filter or to filter according to different terms, just re-open the filter and change the desired terms. Then, press the blue filter button on the bottom right to apply the filter to your data.
| * The clear button allows you to refresh all of the filters and go back to the default setting of having no filters applied.
| * Additional note about filter searches: for the identifier, first name, and last name search boxes, your entries do not need to be complete words or ID numbers. Rather, you can run a stem search with, for example, just the first three numbers in the ID ("012") or just the first three letters of a last name ("Abb") to yield all results that conform to those criteria.
